What personal data do we collect and why?

 

The purpose of processing personal data is to receive, process and store job applications from job seekers interested in Atria as an employer, as well as thesis and internship applicants. The processing basis for your data is a possible employment, internship or thesis contract, your consent or the requirements set by legislation (Employment Contracts Act, Aliens Act, Non-Discrimination Act, Act on Privacy Protection in Working Life).

 

As an applicant, you enter your personal information and other job application information on the job application form. The information we receive from you on the job application is

  • basic information (name, date of birth, contact information, gender)
  • citizenship (If the applicant is not a Finnish citizen, the Aliens Act obliges them to prove to the employer their right to work in Finland.)
  • information about the job and the job search
  • education and skills information
  • possibly other information relevant to the position being applied for (e.g. allergies, driver's license)
  • possible free-form job application, curriculum vitae and attached files
  • names and contact information of recommenders

 

In addition, we can supplement information about you in connection with a job interview, on the basis of a suitability assessment carried out with your consent or on the basis of a drug or employment check, and from referrers provided by you in your job application. Your job application data is not used for automatic decision-making or profiling.

 

How do we process, store and protect personal data?

 

We always keep your application information confidential and only those persons who need the information to manage the recruitment process have access to it. The processing of application data is based on user-specific rights.

 

We do not disclose your data to third parties on a regular basis. However, when recruiting and evaluating a person's suitability for the job, we may disclose your application information to contracted third parties. Your data will not be transferred outside the EU/EEA countries.

 

Information security is a process for securing the confidentiality, integrity and availability of information. At Atria, information security is managed in accordance with the Group's information security policy. All personal data is protected against unauthorized access and accidental or unlawful processing.

 

The information security policy applies to all information assets and related processes that Atria manages or processes. This applies to data processing relating to Atria and its staff, as well as to its partners and customers. Atria's systems and processes are highly secure and protected against data breaches and denial of service attacks.

 

When processing personal data and planning the processing, we comply with the requirements of the EU General Data Protection Regulation. Access to personal data is monitored in accordance with good practices.

 

How long do we store personal data?

 

We store your application data for the time required by the recruitment process, so that we can fulfill the purposes described in this statement.

Open applications are no longer active after six months from submitting the application if we have not progressed in the recruitment process with you. If progress has been made in the recruitment process, we will store your application for 1.5 years after submitting the application. We store targeted applications for 1.5 years after the application was submitted.

 

If you are selected for the position, your personal data collected during the recruitment process will be transferred to Atria's HR system, regarding which additional information is available in Atria's personnel privacy statement.

 

Rights of the registrant

 

As a registered user, you have the right to:

  • get access to your personal data and get a copy of your personal data
  • request correction and, under certain conditions, deletion of personal data about you
  • under certain conditions, request restriction of processing or object to the processing of personal data
  • in certain cases, request the transfer of your personal data to another system.
